Who we are
This website is run by Clearmasters (Environmental) Ltd, a company registered in England and Wales (company number 07641009). Our registered office is Rough Beech Court, Dowlands Lane, Smallfield, Surrey RH6 9SD.
We are the "controller" of the personal information described in this policy, which means we decide how it's used and we're responsible for looking after it.
If you have any questions about this policy or your information, contact us at info@clearmasters.co.uk, call 03333 233566, or write to the address above.
What we collect
Information you give us
- Contact details: your name, company name, phone number, email address, postal address and postcode, for example when you fill in our quote, contact, call-back or booking forms, phone us or email us.
- Job details: the service you need, your type of system and tank size, access information, preferred dates, and anything else you tell us about the job.
- Property and site information: the address where we'll work, and records we create while working there, such as service reports, CCTV survey footage and photos of your drainage system.
- Payment and account information: invoices, payments and account history. When you pay online, you enter your card details on our payment provider's secure page, and we don't see or keep your full card number.
- Reviews and feedback you send us.
Information collected automatically
- Security information: our forms use Google reCAPTCHA to block spam. It looks at things like your IP address and how you interact with the page.
- Website usage: if you agree to analytics cookies, Google Analytics records which pages you visit, how long you stay, the type of device and browser you use, and roughly where you are (town or region).
- Advertising information: if you agree to marketing cookies, the Meta (Facebook) pixel records your visit so we can measure our Facebook adverts and show them to people who've visited our site.
Information from other sources
Sometimes we receive your details from someone else, such as a letting agent, landlord, property manager or managing agent who books work at your property, or a neighbour who shares a system with you. We'll only use them for that job.
How we use it and why
Data protection law says we must have a valid reason, called a "lawful basis", for each way we use your information. Here's what we do and why.
| What we do | Our lawful basis |
|---|---|
| Reply to your enquiry and give you a quote | Steps you've asked for before a contract, and our legitimate interest in responding to people who contact us |
| Book, carry out and report on work, and contact you about it (e.g. confirming arrival times) | Performing our contract with you |
| Invoice you, take payment and manage your account | Performing our contract with you |
| Remind you when your tank or treatment plant is due to be emptied or serviced | Our legitimate interest in providing a good service to existing customers. You can ask us to stop at any time. |
| Keep waste transfer records, and accounting and tax records | Legal obligation (waste duty of care rules and tax law) |
| Protect our website and forms from spam and abuse | Our legitimate interest in keeping our website secure |
| Understand how our website is used (Google Analytics) | Your consent, through our cookie banner |
| Measure and target our Facebook adverts (Meta pixel) | Your consent, through our cookie banner |
| Deal with complaints, disputes and legal claims | Our legitimate interest in protecting our business, and legal obligation where it applies |
We don't send marketing emails or texts unless you've asked for them. We don't make decisions about you using purely automated processes.
Who we share it with
We never sell your information. We only share it with:
- Our payment provider (takepayments), which processes online card payments securely.
- Licensed waste treatment sites that receive the waste we collect, as waste regulations require. Waste transfer records include the address the waste came from.
- Service providers who support our business, such as our website host, email and IT providers, and job management and accounting software.
- Google, for reCAPTCHA, and for Google Analytics if you've agreed to analytics cookies.
- Meta (Facebook), if you've agreed to marketing cookies.
- Our professional advisers, such as accountants, lawyers and insurers, where needed.
- Regulators and authorities, such as the Environment Agency, HMRC or the police, when the law requires it.
- A buyer of our business, if we ever sell it. The buyer would have to protect your information in the same way.
Our service providers may only use your information to provide their services to us, and must keep it secure.
Transfers outside the UK
Some of our providers, including Google and Meta, may process information outside the UK, for example in the United States. When that happens, the transfer is protected by safeguards approved under UK law, such as the UK–US data bridge or the UK's International Data Transfer Agreement.
How long we keep it
We only keep your information for as long as we need it.
| Information | How long we keep it |
|---|---|
| Enquiries and quotes that don't lead to any work | 12 months from your last contact |
| Customer records, job and service history | 6 years after our last job for you, so we can manage your account, deal with any claims and keep your service history |
| Invoices and accounting records | 6 years after the end of the financial year they relate to, as tax law requires |
| Waste transfer notes | At least 2 years, as the waste duty of care rules require |
| Google Analytics data | Up to 14 months |
Keeping it safe
We use appropriate technical and organisational measures to protect your information, including secure (HTTPS) connections on our website, access controls so only staff who need your information can see it, and payment processing through a secure, PCI DSS compliant provider. No system is completely secure, but if something goes wrong we'll act quickly and tell you and the ICO where the law requires it.
Your rights
Under UK data protection law you have the right to:
- Access your information and get a copy of it
- Correct information that's wrong or incomplete
- Delete your information in certain circumstances (we may need to keep some records, such as invoices and waste transfer notes, for legal reasons)
- Restrict how we use your information in certain circumstances
- Object to us using your information on the basis of our legitimate interests, including service reminders
- Move information you've given us to another provider (data portability)
- Withdraw your consent at any time where we rely on it, for example by changing your cookie settings
To use any of these rights, contact us using the details above. It's free, and we'll reply within one month. We may need to confirm your identity first.
Cookies
Our website uses cookies. Essential cookies make the site work. We only use analytics and advertising cookies if you agree. Our cookie policy lists every cookie we use and explains how to change your choices.
Questions and complaints
If you're unhappy with how we've handled your information, please contact us first at info@clearmasters.co.uk and we'll do our best to put it right.
You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
